What member quotas solve

As soon as a team starts creating together, one question always shows up: who can spend how much, and how do you know before the balance suddenly disappears?

Member quotas are designed for exactly that moment:

  • A team owner wants clear monthly point boundaries
  • An admin needs to protect shared budget across multiple contributors
  • A freelancer or temporary collaborator should have a smaller cap than core teammates
  • A lead should be able to review usage at a glance instead of opening each member's settings one by one

The feature is intentionally simple. It is not trying to become a finance tool. It gives teams a practical operating layer inside the same workspace where creation already happens.

How it works

1. Scan quota status from the member list

You no longer need to open the quota dialog just to understand the current state. The team member list now shows a compact used/limit summary for each member.

That means you can answer questions like these in seconds:

  • Who is close to their monthly limit?
  • Who is still effectively unlimited?
  • Which members have barely used any of their assigned points?

This small summary matters because quota management becomes part of normal team review, not a hidden settings task.

2. Open quota settings only when you need to change policy

When you do need to adjust a member's limit, the quota settings dialog is still the place for full management.

From there, you can set a monthly limit per active member and review a more complete breakdown before saving changes.

3. Use three simple states

Each member can be handled in one of three ways:

  • Leave blank to keep the member unlimited
  • Set a positive number to cap monthly spend
  • Set 0 to block further team-point usage

These three states are usually enough for real operations. Most teams do not need more complexity than that.

4. Reset every UTC month

Usage resets automatically on the first day of each UTC month. That makes quota reviews predictable and easy to align with monthly planning cycles.

A practical way to roll this out

If you are introducing member quotas for the first time, start with a simple structure:

  1. Keep owners or leads unlimited if they handle most exploratory work
  2. Give recurring contributors a monthly limit based on their normal workload
  3. Use smaller limits for short-term collaborators or review-only members
